MyVirtualMedic is the website and advisory practice of Dr Ohioma Akhibi, a UK general practitioner. MyVirtualMedic is the data controller for the personal information described here, which means it decides why and how that information is used.
This notice covers this website. Where a separate service sets its own terms, for example a purchase handled by our payment provider, that provider's notice also applies to the information it processes.
Enquiry form: your name, organisation (if you give one), email address, the area of interest you select, the description of your enquiry, and a record of the page you sent it from and when.
Purchases: if you buy a guide or coaching, the payment itself is handled by Stripe. We receive confirmation that a purchase was made and the email address used for it. We never see or store your card details.
Basic analytics: which pages are visited, roughly where visitors are, and what type of device or browser is used. This is used in aggregate to see whether the site is useful and working properly.
Enquiries are handled on the basis of legitimate interests: responding to people who contact us and running an advisory practice. We keep this limited to what is needed to answer you and to keep a record of the conversation.
Purchases are handled on the basis of contract: we need your details to provide the guide or service you have paid for, and to keep financial records.
Basic analytics are used on the basis of legitimate interests in understanding how the site is used. They are not used to advertise to you or to follow you across other websites.
Enquiries are kept for up to 24 months after our last contact, unless we begin working together, in which case records are kept for the period of the engagement and then as long as needed afterwards.
Purchase and financial records are kept for as long as UK tax and accounting rules require, which is normally six years.
Aggregate analytics are kept for a short period and are not used to identify individuals.
The website and its database are hosted on Base44, which stores the information on our behalf. Payments are processed by Stripe. Both act as service providers under their own terms and data protection commitments.
We do not sell personal information, and we do not share it for advertising. We would only disclose information otherwise where the law requires it.
This website is not a clinical channel. Please do not submit patient-identifiable information through the enquiry form, including names, dates of birth, NHS numbers or clinical details about a patient.
If such information is sent to us in error, tell us and we will delete it as soon as possible. Nothing on this site is a substitute for individual medical advice.
You have the right to ask for a copy of the personal information we hold about you, to have anything inaccurate corrected, and to have your information erased where we no longer have a good reason to keep it.
You can also ask us to restrict what we do with your information, object to how we are using it, or ask for it in a portable format. Where we rely on consent, you can withdraw it at any time.
Requests are free and are normally answered within one month.
Use the contact form on this site and say that your message is a data protection request, so it can be handled correctly. If you have a receipt from a purchase, the reply address on it reaches us too.
We may need to confirm your identity before acting on a request, so that information is not released to the wrong person.
If you are unhappy with how your information has been handled, please raise it with us first so it can be put right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
This site uses a small number of cookies. They are described in the cookie notice, which also explains how to control them in your browser.
If this notice changes, the date at the top of the page changes with it. It is written to be read, not to hide behind.
